Invoices are sent to your company in accordance with the payment method and delivery method you have chosen. The complete invoice details can be viewed in the Businessmanager. The actual invoice files do not get displayed here, however.

If you use the payment type “QR invoice”, you will receive the invoice by e-mail as a PDF.

Contract managers, cost centre managers and their deputies can use the contact form to inform us of the correct e-mail address for invoice forwarding.

Detailed information about your invoices can be found in Businessmanager. Contract managers, cost centre managers and their deputies have access to this. To view the details, download the statistics for the desired time period or using the invoice number.

The term “Dossier” refers to the order number generated automatically when a ticket is purchased.

A cost allocation on the invoice indicates the internal use to which the expense is allocated.

Enter the cost allocation in Businessmanager. A cost allocation can be a cost centre, project number, order number, etc. Each cost allocation is allocated to a cost centre. This gives a better overview of costs and simplifies the booking of purchases in your financial accounting. 

If one or more cost allocation is active, employees must select one cost allocation before completing the purchase.

Contract managers, cost centre managers and their deputies can issue, edit or block cost allocations or place time limits on them.

The “Reference” field provides additional information about individual invoice items (e.g. the name of the passenger, the purpose of the purchase or an internal reference number). 

After you have selected a payment method in the purchase process, you can enter your own text in the “Reference” field. This text appears on the invoice and makes it easier to allocate the item. 

The purchaser is the person who bought the ticket using sbb.ch/en/business or the SBB Mobile app. This does not necessarily have to be the passenger. 

We recommend entering the name of the passenger under “Reference” when buying each ticket. This makes it easier to track the bookings later and allocate them to their purpose.

The date of purchase is the date on which the ticket was bought via sbb.ch/en/business or the SBB Mobile app. This can be different from the date of travel. The date of travel can be found in the detailed statistics, which can be downloaded by your company’s travel manager from sbb.ch/bm/en.

The “VAT” field on the invoice indicates the Value Added Tax calculated. 

Travel managers can compile VAT receipts quarterly for each cost centre. 

To do this, sign into Businessmanager using your SwissPass login sbb.ch/bm/en. Then select the desired cost centre in the ‘Overview’ tab. You can find ‘Download VAT receipts’ in the menu on the right-hand side. Select the desired quarter and click on ‘Generate’

If you have any questions about your invoice, please contact your company’s travel manager. Contract managers and cost centre managers can use the “Download statistics” function in Businessmanager to download all booking details as an Excel file and make this available for checking the invoices.
